1. Information We Collect
We collect the following categories of personal information when you register and use our Platform:
- Account Information: First name, last name, email address, phone number, and country.
- Film Submission Data: Film title, synopsis, category, language, runtime, director biography, production details, and all information entered in the submission form.
- Uploaded Media: Film posters, director photographs, still images, and certificate documents you upload during submission.
- Screener Links: Private video links (YouTube, Vimeo, Google Drive) you provide after payment confirmation.
- Payment Information: Payment amounts, Razorpay order IDs, and transaction IDs. We do not store full card details — all card processing is handled by Razorpay.
- Technical Data: IP address, browser type, device information, and usage logs collected automatically.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To process your film submission and manage your account.
- To verify your identity and prevent fraud.
- To process payments and issue receipts via Razorpay.
- To communicate with you about your submission status, selection results, and event updates.
- To send transactional emails (verification, confirmation, selection notifications).
- To display your film details in the official Film Expo India 2026 programme if selected.
- To improve our Platform and services.
- To comply with applicable laws and regulations.
3. Sharing Your Information
We do not sell or rent your personal information to third parties. We may share your information in the following circumstances:
- Razorpay: Payment processing is handled by Razorpay. Your payment information is governed by Razorpay's Privacy Policy.
- Event Partners: If your film is selected, basic details (name, film title, bio) may be shared with event co-organisers, ITPO, and media partners for promotional purposes.
- Legal Obligations: We may disclose information if required by law, court order, or government authority.
- Business Transfer: In the event of a merger or acquisition, your data may be transferred to the successor entity.
4. Screener Video Links
Private screener links you provide are accessible only to authorised Film Expo India review committee members and administrators. We do not publicly display, share, or distribute your private screener links. These links are used solely for film selection review purposes.
5. Data Security
We implement appropriate technical and organisational security measures to protect your personal data, including:
- HTTPS encryption on all pages.
- Passwords stored using bcrypt hashing — we never store plain-text passwords.
- CSRF tokens on all forms to prevent cross-site request forgery.
- Payment processing handled entirely by Razorpay's PCI-DSS compliant infrastructure.
However, no system is 100% secure. We cannot guarantee absolute security of your data.
6. Data Retention
- Unpaid drafts are automatically deleted after 7 days.
- Paid submissions are retained for at least 3 years for legal and accounting purposes.
- Account data is retained as long as your account is active. You may request deletion by contacting us.
7. Children's Privacy
Our Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has submitted data, please contact us immediately.
8. Cookies
We use session cookies for authentication and form security (CSRF). We do not use tracking cookies or third-party advertising cookies. You can disable cookies in your browser, but this will prevent login functionality.
